  • Manage Containers

    View a Container

    To view a container in the system:

    1. Login to your portal https://portal.evessel.io/
    2. From the side menu, navigate to “Containers” and click on “Containers”.
    3. Use the search and advanced filters to find the container you are looking for.
    4. Press on the edit or view button on the right “Actions” column.

    Create a Container

    To create a new container in the system:

    1. Login to your portal https://portal.evessel.io/
    2. From the side menu, navigate to “Containers” and click on “Containers”.
    3. On the top action bar, click on “Add New”.
    4. Complete the container details and information.
    5. Navigate to the bottom and click on “Save” to unlock all the other container features.

    Note: When container is first created the consignee, intermediate consignee, and notify parties is locked. The system will always use the packing order information. Only when the container has more than one packing order (consolidated container) it will allow to edit that information on the container.

    Adding Packing Orders

    Once the container is created the system will unlock other features such as managing packing orders and uploading documents.

    Visit Managing Packing Orders for details on how to add and manage packing orders to the container.

    Uploading and Sharing Documents

    Once the container is created the documents section will be unlocked. You can drag and drop or click on the upload button to upload one more document to be attached to the container.

    Generating the Legal Documents

    Once the container information is completed, you can email, print and / or preview the legal documents from the top action bar on the container details screen. The documents that can be generated:

    • Master Bill of Lading (MBL).
    • Doc Receipt (Container DR).
    • Container Packing Order.

    To print or preview the documents, click on the relative button and the email pop-up will show, from there, you can click on “Preview” to view the document.

    Updating a Container

    To update a container in the system:

    1. Login to the portal https://portal.evessel.io/
    2. From the left side menu, navigate to “Containers” and click on the “Containers” in the menu tree.
    3. Use the smart search and advanced filters available to find the container you wish to update.
    4. From the “Actions” column, press on the edit button.
    5. Update the container data as needed and then scroll to the bottom and press “Save”.

    Deleting a Container

    To delete a container in the system:

    1. Login to the portal https://portal.evessel.io/
    2. From the left side menu, navigate to “Containers” and click on the “Containers” in the menu tree.
    3. Use the smart search and advanced filters available to find the container you wish to update.
    4. From the “Actions” column, press on the edit button.
    5. On the top action bar, click on the “Delete” button and confirm the deletion request.

    Create a New Packing Order

    Packing orders are part of containers. To create a new packing order:

    1. Login to the portal https://portal.evessel.io/
    2. From the left side menu, navigate to “Containers” and click on “Containers” menu button.
    3. Use the smart search and advance filters to find the container you wish to add the packing order to.
    4. Click on the edit button on the container from the “Actions” column.
    5. Once the container is open, scroll down to the “Packing Orders” section.
    6. Click on “New Packing Order” button.
    7. Fill in the packing order information and click on “Save”.

    Adding Cargoes to the Packing Order

    Once a packing order is created, you can add or link cargoes to it. Navigate to the bottom section titled “Cargoes” and click on “Link New Cargo”. A new pop-up screen will show listing all the cargo in the system. Use the smart search to find the cargo you are looking for to link and close the pop-up when done.

    Note: The link cargo pop-up will only show the cargoes in the system that has not been linked to another packing order. So, if a cargo you are looking for didn’t show up in the result, make sure that it was not linked to another packing order.

    Uploading and Sharing Documents

    Once a packing order is created, you can upload and attach documents using the “Upload” button or dragging and dropping the files into the documents section.

    Generating the Legal Documents

    Once a packing order is created the system will unlock the legal documents buttons on the top actions bar. The buttons include:

    • House Bill of Lading (HBL).
    • Doc Receipt (PODR).
    • Custom Clearance.
    • House Hold Goods (HHG).

    Create New Packing Plan

    To create a new packing plan in the system:

    Portal

    1. Login to the portal https://portal.evessel.io/
    2. On the left side menu, navigate to “Containers” and click on “Packing Plans”.
    3. From the top action bar, click on “Add New”.
    4. Fill in the form and click on “Save”.
    5. Once created, the system will unlock a new add cargo button at the end of the form.
    6. Click on the add button and use the smart search to find the cargo you wish to link to the packing plan.

    Upload and Share Documents

    Update a Packing Plan

    Once a packing plan is submitted, only management and staff will be able to update it. To update the packing plan:

    2. On the left side menu, navigate to “Containers” and click on “Packing Plans”.
    3. Use the smart search and filters to find the packing plan.
    4. Click on the edit button on the action column to the right.
    5. Update the information you want to change and click on save when done.

    Delete a Packing Plan

    Packing plan cannot be deleted at the moment but it’s part of the future releases. We recommend creating a status assigned for records to be deleted or ignored.[/vc_column_text][/vc_column][/vc_row]

    Appointments Workflow

    Drop off appointments is a module used to help clients book an appointment to drop off new cargo and items to the warehouse for processing. The modules has two basic statuses “Submitted”, and “Processed”.

    Submitted: Is the default status for all new appointments, and it represent all appointments that has not been processed by the warehouse team.

    Processed: Is a reserved status for staff and warehouse team. This status represent all the appointments that the team has processed and recorded in the inventory.[/vc_text_element][/vc_column][/vc_row][vc_row nav_skin=”light” consent_include=”include” row_id=”view-appointments”][vc_column css_animation=””][vc_text_element css_animation=””]

    View Appointments

    To list and view existing appointments in the system:

    1. Login to the portal using your login information.
    2. From the left side menu navigate to “Drop Off” and click on “Appointments”.
    3. The system will list all booked appointments.
    4. Click on the action button to view the appointment details.

    You can use the filters to find a specific booking.

    Export to PDF

    To exporter a listed view, you can click on the “Export PDF” button on the top right corner of the appointments screen. You can filter the results by pressing the “Toggle Advanced Filters” select your filters.     Create an Appointment

    To create or book a new appointment:

    1. Login to your portal https://portal.evessel.io/
    2. From the left side menu navigate to “Drop Off” and click on “Appointments”.
    3. From the top menu click on “New Appointment”.
    4. Select the exporter account you wish to create the appointment for.
    5. Select the warehouse you wish to drop off the cargo at.
    6. Enter the number of items or cargo dropped. The number of items my limit the number of available slots as the company may require not more than a specific number for a particular time slot.
    7. Select the day the cargo will be dropped off.
    8. Once the day is selected the system will load the available time slots for the selected day.
    9. Fill in the trucking company information, the driver details, and the contact information and then press “Submit”.

    Update an Appointment

    To update an appointment:

    4. Update the information on the page as needed and press the “Save” button.

    Delete an Appointment

    To delete an appointment:

  • Manage Exporters

    Create a New Exporter

    To create a new exporter in the system:

    1. Login to your portal.
    2. From the left side navigation menu, navigate to “Address Book” and click on “Exporters”.
    3. On the top action menu, you will fine a “Add New” button.
    4. Fill in the form to create a new exporter and press on “Save” when done.

    Link and Unlink Parties

    Once a contact is created it will unlock the linking options for contacts. You can link contacts to the exporter as a general contact, consignee, or notification party.

    Contact – Is a normal contact and and will show the contact as an option when sending  emails and notifications manually or by the system.

    Consignee – The contact will be linked as consignee of the exporter. Contacts assigned as consignees will show on the consignee selection list for the exporter.

    Notify Parties – Contacts linked in notify parties will be included in some of the legal documents when sent out automatically by the system.

    5. Edit the form as you wish then navigate to the bottom and press on “Save”.

    Delete an Export

    Once an exporter is created in the system it cannot be deleted but you can update the “Active status” field to inactivate the exporter account. Once an exporter is set to be inactive, it will not show as a selection on new entry but it will show on old records if it is related.

    View a Cargo

    To view a cargo in the system:

    3. Use the search options and filters to find the cargo you wish to update and click on the view button the action column.

    Understanding Cargo Properties

    Access – It can be set to private or public. When the access is set to “Private” only the staff can see the specified record. When set to “Public” it will be available for all the users assigned to the exporter.

    Master bill of Lading Notes – Notes to be attached to the Master Bill of Lading (MBL) when generated.

    Public Notes – Those are notes that will be visible on the record when viewed by the exporter. This is meant to be as a notes holder to the client.

    Enter New Cargo

    To enter a new cargo into the system:

    1. Login to your portal https://portal.evessel.io/
    2. On the side menu navigate to “Inventory” section, and click on “Cargoes”.
    3. From the top action bar, click on “Add New”.
    4. Fill in the cargo form and press “Save”.

    Upload and Share Documents

    Email Record

    Once a cargo record is created you can email the record to any contact or emails by clicking on the “Email” button on the top navigation bar on the cargo details form screen. Once clicked the system will pop-up a mailing form.

    Reply to – Must be the logged in user email or the system email. If left empty, it will be send from the system email. When this field is selected, it will receive the email response from the client if they chose to.

    To – The email to be sent to. You can select from the list or type it in. It can also be multiple emails.

    Update a Cargo

    To update a cargo in the system:
